If your IT folks will cooperate, it is quite possible to create
redirects from the old URLs to the new ones.  Hopefully you can at
least have both sites up in parallel for a few weeks.

As soon as you get the new site online, make sure you register it with
google (or your favorite search engine) to have them crawl it.
